Game Night
From RoboWiki
We organize a lock-in twice a year (once in late December and once in May) for everyone to come together and play popular video games. Slots sell suggested about 3-4 weeks. We get drinks and snacks, and spend the afternoon setting up a network for everyone to play off of. Then we sell snacks, set-up the tournament, and have lots of fun. It runs from about 6 p.m. to 6 a.m. All the money generated goes into the team fund.
When planning a gaming night, make sure that you have 1 to 2 month(s) before the actual date. This is because it takes approximately 1-3 weeks for paper work, about 1-2 weeks to begin advertising, and at least 2 weeks for a moderate amount of attendees. Make sure that when you are planning, that there are no events that will interfere with your scheduled date, and that there aren't any elections of any sort happening (as this may detract from your signs). Also, plan so that there is room for any problems that occur.
If anybody wants to host a Gaming Night, it should be decided towards the beginning of the year, way before Build Season (January). Try to host the event in October or November, as students tend to be more energetic during the beginning of the school year. It is optional, but highly suggested that a poll is taken to the school's students on what games should be hosted and taking the highest-voted game as the main event with the second-highest optionally hosted. Note that this is not mandatory, but it helps decide what game is most popular amongst the gamer community, which is the target community.
Immediately start the paperwork, for it will take about two - three weeks to finish everything. Make sure there are teachers, students, and parents capable of signing slips and helping host the games! Be ready to hand out permission slips the day of advertising and allow one month to advertise.
For publicity, make sure you have plenty of signs and any other forms of publicity (brochures, etc.)
For food and drink, don't buy anything until your paperwork is done! There are multiple ways to get your paperwork for food passed as listed below in "Paperwork".
