Vanden Robitics Parents & Mentors Meeting Monday, September 14, 2009 Minutes
Attendance: Adults: Duane Murphy, Karen Cesar, Rachel Brown, Tim Brown, Mark Crusoe, Tracee Stafford, Ron Stafford, Kas Rangan, Doug Green, Steve Sigley, Chris Sigley, Glen Kennedy, Mike Seidlitz Students: Steven Sigley, Sarah Stafford, Ryan Seidlitz, Emiliano Ygnalaga
Agenda Item: Discussion/Description: Action: 1. Call to Order 2. Approval of past meeting minutes Motion to approve by Doug Green, second Chris Sigley 3. Announcements: a) Foxboro has a team but needs an adult volunteer b) E-Waste will be held on October 17th. Volunteers are needed. Money earned from E-Waste will go to the team but the students will get credit for hours worked. c) Ronald McDonald House Fundraiser will be held on 12/5. Robotics will have a booth. d) We are mentoring 2 Lego League teams from Golden West 9 student total. 4. Funding Raising: a) August Car Wash: Netted approximately $390
b) Fruit Snack Sales: 25 cases of fruit snacks have been ordered
c) Status of future raffles: No raffle will be held this year due to the fact that we have not been a non profit for 1 yr
d) E-Waste earning’s: Earned $900 from last May’s e-waste
e) Lunch workers: Students can work in the cafeteria at lunch to earn money for Robotics expenses. They will also be given a free lunch.

From the Pits:
a) 2009 Robot: Robot is fixed and ready for new drivers to start practicing
b) McCannon: Frame halves are welded
c) Scouting: Nintendo DS’s will be used at Cal Games
6. Summer Bingo Earnings: Over $10,000 was earned over the summer. Mark will send out an email advising how to sign up if you are interested in working Bingo.
7. Old Business:
Status of non profit: Mark is waiting to hear back from the Fed’s on name change and then he will send in to the State.
8. New Business: a) Upcoming Vex Tournament: Need volunteers. The field has been ordered. b) Bingo earning’s ratio: Now that we are a non-profit Booster will not be taking 10% of our Bingo earning. Kas motioned to change split on bingo earning from 90/10 to 80/20. Voted 13 in favor, 0 against c) By-Laws amendments moved to a later date. d) Cal-Games, Dates Drivers, etc: Cal –Games set up will be 10/9 and tournament will be 10/10. Students must wear team shirts. Drivers will be Murphy, Brown, Green and Crusoe. We will not charge the student for Cal-Games. Need volunteers for 10/9 and 10/10. a) Sam to ask Mr. Sarty about what needs to be done to prep gym floor. 9. Next Meeting: Monday October 5, 2009 Mark will email out agenda 2-3 days in advance. 10. Regional, which will be on

4. Fundraising
1. Car Wash Totals‐The 2nd Car
Wash raised $392.50 for the Team.
2. Fruit Snack Sales‐ Fruit Snack
Sales started today. One Student
has already sold her box!
3. E‐waste‐ Persons needed for the
10/17 E‐waste Drive. There will
be two shifts 9‐12 and 12‐3
5. From the Pits
1. Cal Games‐ The 2009 Robot is
running and ready to go.
2. McCannon Bot.‐ 6 more welds to
go!
6. Reports
1. Student Accounts‐ Account Balance
sheets were passed out to those
present. Mr. Murphy will be handing
out the remainder to the class
tomorrow. Mr. Murphy also provided a
Profit/Loss Report for Team expenses
for the YTD.
7. Old Business
1. EIN Name Change‐ Its Official. Our
non‐profit name is now Vanden
Robotics Foundation.
8. New Business
1. Vex Tournament‐ 4 Teams have
signed up for the Tournament.
2. Vex Tournament Signup Sheet‐
Students will be sending a
signup sheet for Parent
Volunteers.
3. Cal Games Drivers‐ Drivers for
Cal Games will be meeting at
Vanden at 3pm on Friday and
6am on Saturday.

2. Approval of Past Meeting Minutes 1st –Green 2nd –Sigley
3. Announcements
1.Team has registered for San Jose
Regional, 3/18 thru 3/20 and the
Portland OR. Regional 3/5 thru 3/6.
2. We are on the wait list for Atlanta
and DC regional.
3. Lone Star Regional not possible due
to dates during Easter Break.
4. Mr Green and Mr Murphy will travel
to San Diego on 12/5 for presentation
of Golden Bell Award.
4. Fundraising
1. Proposed E‐Waste for 1/2/10. Will
discuss with Virtual Enterprise.
2. Fruit Snack Sales‐16 boxes left.
Will continue to sell them at
events and after school.
3. Students will discuss possibly
doing another on campus sale.

1. New Crate has been designed.
Unfortunately no time to build it.
